How to reply to a negative Google review as a hvac company

Heating and cooling reviews often follow the weather. When the furnace dies in January or the AC quits in a heat wave, customers are uncomfortable and impatient, and a long wait or an unexpected quote turns into a one-star review. Most complaints are about wait times, diagnostic fees, parts delays, replacement quotes, and systems that fail again.

A simple four-step reply

  1. Thank them and use their name. Even an angry customer took the time to write.
  2. Acknowledge the specific problem. Repeat one detail so readers can see you actually read it.
  3. Take responsibility for what's yours, or explain once, briefly. No arguing, no blaming.
  4. Move it offline with a real next step. Give a direct phone number or email and a named person.

Keep the reply short (three to five sentences) and remember who it's really for: the future customers reading your reviews before they call.

1. Long wait in peak season

3. Waiting on parts

Hi [Name], being without [heat/air conditioning] while a part is on back order is miserable, and I'm sorry. 4. Felt pressured to replace

Hi [Name], thank you for your honesty. A replacement is a big decision and you should never feel rushed into it. Our techs are asked to quote both the repair and the replacement and let you decide. I'm sorry that's not how your visit felt. I'm happy to go over both options with you myself. – [Owner name], [Business]

5. System failed again

Hi [Name], I'm sorry your system stopped working again so soon. That's not the result we want for you. Our repair is covered by [warranty], so we'd like to send a senior tech back at no charge to find the root cause. Please call [phone] and mention this review. – [Owner name]

Frequently asked questions

Should a hvac company reply to every negative Google review?

Yes, ideally. A calm, specific reply shows future customers how you handle problems. Reply once, keep it short, and move the conversation to phone or email.

Can I get a negative review removed?

Only if it breaks Google's policies, for example if it's fake, off-topic, contains personal information or is from a conflict of interest. You can report it from your Business Profile. Being negative or unfair is not on its own a reason for removal.

Is it OK to offer a refund in exchange for removing a review?

No. Google's policies don't allow offering incentives in exchange for posting, changing or removing a review. You can still fix the problem. Just don't make it conditional on the review.
